Warning Letter for Insubordination and Poor Performance

It is a formal letter written by the employer to the person who does not show compliance with the performance standards and often refuses to obey the orders of the higher authorities. Some people have insubordination in their nature and they don’t want to abide by the rules of the company. Whereas, some employees fail to show good performance or obey authorities unknowingly. In either situation, the warning letter will fix everything.

Why is it important to issue warnings?

A warning letter is a clear indication to a worker that his boss is not happy with this performance. It is also an indication that the employee should now work on improving his work and behavior if he wants to continue working. As per the employment contract, employers cannot expel any worker from the job without giving them a warning.

So, the warning letter is attached to the file of the employee and is kept as proof that he was aware that the company wants him to improve and failure to show subordination and good performance resulted in his termination from the job.

At the same time, some employees also improve their performance and start acting more responsibly as they do not want to be terminated. Furthermore, they know that they won’t be able to get the reference in the future if they get terminated like this. So, writing the warning is an important task.

Sample letter 1:

Subject: Warning for poor performance and insubordination during [X]

Respected Mr. ABC,

It has been brought to my notice that your performance is not up to the mark. The work you submit is always full of errors. We believe that everyone makes mistakes and these mistakes can be avoided if you are given the necessary instructions. However, I have received complaints that you don’t obey anyone’s instructions.

I would like to mention here that it is not the policy of the company to tolerate bad performance and then insubordination. Therefore, please accept this letter as a warning letter for your bad behavior. You have been issued a verbal warning also in the past. I can feel that you don’t seem to be improving yourself. Please note that failure to show compliance with the performance standards will result in your termination from your position.

Subject: Reprimand for poor performance in the project [X] and insubordination during [XYZ]

Respected Mr. ABC,

This letter serves as a written letter of reprimand to you to confirm that you have not been showing compliance with the rules and regulations of the company. It is not acceptable for our company to tolerate poor performance and insubordination at our employee’s end because the insubordination leads to a lack of discipline and a decline in the growth of the company. You are warned of the disciplinary action taken by the company if you do not show any improvement in your behavior.

I am ready to assist you in improving your performance and I have devised a comprehensive action plan that you can follow and show some interest in your job.

Your supervisor has shared many concerns with me regarding your performance as at times, the company suffered a loss because of your negligence. Many times, it was ignored by me, and once, I also issued you a verbal warning. Now, I am compelled to write the warning letter because you do not seem to understand the problem.

You might feel that I have no reason to find your job performance unsatisfactory. Considering this, I can mention a few incidents that were reported to me regarding your performance including your early departure from work without informing anyone or taking permission.

I hope that you understand the value of demonstrating good performance at work. I look forward to seeing you improve yourself and your behavior.
