Warning Letter for Interfering in Official Matters

A warning letter for interfering in the official matters is a letter that is written and issued by an employer. This letter is addressed to the employee, in which a warning is given to him for his unprofessionalism and interference in the official activities or work.

Usually, there is a sequence of activities or tasks in a working environment. In addition, every employee has assigned tasks and responsibilities. If an employee interferes in somebody else’s work, it affects many tasks and hence, the overall chain of work. Resultantly, the organization suffers in terms of productivity, profitability, and relationship with the clients. Therefore, the employer tries to resolve the interference problem by issuing a warning letter.

Sometimes, the organization tries to address the issue by verbally communicating with the employee. If that does not influence the employee, the next step is the issuance of a formal warning notification.

In the official letter, the severity of the warning is dependent on the severity of the interference issue. Generally, the following details are included in a warning letter for interfering in the official matters:

  • Date.
  • Details of the employer.
  • Details of the employee.
  • The issue of interference in the official matters, including reference to any particular scenario.
  • Effects of the problem on the company, other employees, clients.
  • Warning against the interference.
  • Consequences in case of continued interference.
  • Seek improvement.
  • Salutations.

If the warning letter brings an improvement in the employee’s behavior, the issue gets resolved. Otherwise, the company may have to take a dire action, which may even be the employee’s termination.

The warning letter is kept as a record in the employee file and can be referred to if the need arises. Warning letters play a negative role in the employee’s evaluation, which is why employees often try to avoid getting them.

Dear Ms. Emily,

This warning letter is being issued to you because of the constant complaints we have been hearing against you for your interference in official matters.

Your manager as well as your colleagues have approached the HR department often and complained that you impede official activities, which results in issues being created for your department.

We were avoiding the complaints as well as sending a written warning with the hope that you will improve your unprofessional behavior. However, as our verbal warnings have not influenced you, we have been forced to issue this letter, especially because of your constant delaying of emails and deadlines, as per your convenience, in the XYZ project. Due to your interference, the project got delayed for a month, which affected the company as well as our relationship with the client.

This is completely unacceptable. Either you need to stop your interference, or we will be forced to cancel your contract with us. We cannot afford any more losses.

We hope that you will improve your behavior. If you want, you can contact us at [Contact].

Regards,

Timmy Steven.
