Stock Transfer Register

Reviewed & updated by Originally published

A stock transfer register records the movement of inventory between warehouses, stores, departments, branches, or project sites. It helps document what was requested, what was actually dispatched, what was received, who handled each stage, and whether any quantity difference remains.

Use the Stock Transfer Register below to record transfer numbers, source and destination locations, item or SKU details, requested, dispatched and received quantities, batch or lot numbers, unit cost, responsible staff, dispatch and receipt dates, status, and transfer references or remarks. The register also calculates transfer value and quantity variance automatically.

Before relying on the register for inventory or financial records, compare important entries with the original transfer request, dispatch documentation, receiving records, batch information, and the organization’s stock-control procedures.

Stock Transfer Register FAQs

What is the Stock Transfer Register?

The Stock Transfer Register is a browser-based tool for recording and monitoring stock movements between warehouses, stores, departments, branches, or project sites.

What information can I record for each transfer?

You can record the transfer number and date, source and destination locations, item or SKU, description, requested quantity, dispatched quantity, received quantity, unit, batch or lot number, unit cost, transfer value, responsible staff, dispatch and receipt dates, status, and vehicle or reference remarks.

Does the register calculate transfer value automatically?

Yes. Transfer value is calculated from the dispatched quantity multiplied by the entered unit cost.

How is quantity variance calculated?

Quantity variance is calculated as Quantity Dispatched minus Quantity Received, helping identify shortages or incomplete receipts.

Can the status update automatically?

Yes. If part of the dispatched quantity has been received, the register can show Partially Received. If the full dispatched quantity is received, it can show Received.

Which transfer statuses are available?

The built-in statuses include Draft, Requested, Approved, Dispatched, Partially Received, Received, and Cancelled.

Can I search and filter stock transfers?

Yes. The register includes search plus filters for status, source location, and destination location.

What summary information is shown?

The dashboard and Live Preview can show transfer count, dispatched quantity, received quantity, pending or in-transit transfers, completed transfers, quantity variance, and total transfer value.

Can I save an unfinished register?

Yes. Save Draft stores the register in the browser's local storage, and Load Draft restores it on the same browser and device.

Can I export the register?

Yes. The currently filtered register can be exported as CSV for use in compatible spreadsheet software.

Can I print the complete transfer register?

Yes. The Live Preview includes all transfer columns, and the print view uses A4 landscape so the full register can be printed in a compact format.

Should the register be matched against warehouse records?

Yes. Before relying on the register operationally, review transfer approvals, source and destination stock records, batch information, receiving documents, valuation method, and any inventory control requirements used by the organization.

Keeping Stock Transfer Records Accurate

Update the register as each transfer moves from request to approval, dispatch, receipt, or cancellation. A transfer may remain in transit even after stock has left the source location, so dispatched and received quantities should be recorded separately rather than treated as the same event.

Pay particular attention to quantity variance. The register calculates variance as dispatched quantity minus received quantity, which can help identify shortages, partial receipts, or transfers still awaiting confirmation.

Where a transfer is partially received, investigate the remaining quantity before treating the movement as complete. Confirm whether the balance is still in transit, damaged, rejected, returned, or otherwise accounted for.

Register and Source Documents

The Stock Transfer Register is intended to summarize and track inventory movements; it should not replace the supporting records for those movements. Keep relevant transfer requests, approvals, dispatch notes, goods-received records, batch or lot documents, vehicle or delivery references, and stock-adjustment records where they are required.

If the register differs from an approved source document or warehouse record, investigate the discrepancy and update the register rather than assuming the register entry is correct.
