The Customer Order Tracker is a browser-based business tool for recording and monitoring customer orders from order entry through payment, fulfillment, shipment, and delivery.

What information can I record for each order?

You can record the order ID, order date, customer or company, contact details, billing or shipping address, order items, quantities, prices, discounts, tax, shipping cost, payment details, fulfillment status, delivery dates, sales representative, tracking reference, priority, and notes.

Does the tracker calculate order totals automatically?

Yes. It calculates each line total, subtotal, tax, shipping, grand total, amount paid, and balance due automatically as the order is edited.

Can I add more than one item to an order?

Yes. Use the Add Item button to add multiple products or services to the same customer order. Individual item rows can also be removed.

How does payment status work?

The tracker updates the payment status based on the amount paid and remaining balance. It can show Unpaid, Partially Paid, Paid, or Refunded.

Which fulfillment statuses are available?

The built-in fulfillment stages are New, Confirmed, Processing, Ready, Shipped, Delivered, and Cancelled.

Can I save an unfinished order?

Yes. The Save Draft option stores the current order in the browser's local storage, and Load Draft restores it on the same device and browser.

Can I export order information?

Yes. The tracker includes CSV export containing the order summary and item-level information so the data can be opened in compatible spreadsheet software.

Can I print the order?

Yes. The Live Preview can be printed as a clean A4 Customer Order Report without printing the input controls or WordPress page layout.

Does it work on mobile devices?

Yes. On smaller screens, the tool uses separate Input and Live Preview tabs so the order can be edited and reviewed more comfortably.

Is customer information sent to an external service?

The current tracker runs in the browser and does not require an external AI API. Draft saving uses the browser's local storage on the user's device.

Yes. Businesses should adapt the fields, tax treatment, payment workflow, privacy handling, retention requirements, and order procedures to their actual operations and applicable requirements.

Keeping Order Records Accurate

Update an order record when something materially changes rather than relying on the information originally entered. This may include a payment received, quantity adjustment, discount, cancellation, shipment, delivery update, return, or other change affecting the order.

Pay particular attention to the difference between payment status and fulfillment status. An order may be fully paid but not yet shipped or delivered, while another order may be fulfilled with an outstanding balance. Keeping these statuses separate provides a clearer picture of what still requires attention.

Periodically compare tracker records with the underlying invoices, payment records, shipping information, and customer communications. If a record is corrected, make sure the updated information reflects what actually occurred.
