Grievance Letter for Unpaid Wage

A grievance letter is written by an employee when there is a breach of employee rights or the employee feels they have been deprived of their legal right. Any complaint, when submitted formally, is called a grievance letter. Grievance letters can be written for many reasons, such as:

  • Unfair treatment
  • Unfair performance evaluation
  • Unpaid wage or salary
  • Lack of growth opportunity
  • Poor pay scale
  • Health or security hazard at the workplace
  • Untimely payment and rewards
  • Poor working conditions

Any other complaint that an employee may have that seriously affects their ability and motivation to work can be addressed in a grievance letter.

Situation 1: Suppose you have not received your wage or salary for the past three months. The organisation you are working for claims to be going through a financial crisis and is unable to manage its employees’ wages. Given the economic situation, employees are incapable of finding an alternative job and therefore have no choice but to stick with their current employer. You would thus write a grievance letter to the HR department, asking the company for unpaid wages so you can pay for food and bills.

Situation 2: Another scenario might be that the company erroneously failed to make your transfer along with other employees. In many organisations, the processes are long, and often, if such an error occurs, organisations do not make individual transactions. The payment dates are fixed, and if someone’s payment is missed by mistake, they must wait until the next payment cycle.

Situation 3: An employee may have been hired for specific tasks, and while s/he delivered their service, the organisation’s evaluation was not favourable. As a result, the organisation has the full right to delay payment until the scope of work is duly fulfilled.

Situation 4: An employee is working where a union exists, and the union is on strike as a protest against management. In such a stand-off between the union and management, even non-union employees may have to suffer the consequences of the conflict. The organisation may refuse to make wage payments until the workers surrender their demands.

I am writing to file a formal grievance regarding the non-payment of my salary for February and March. I have been performing all my work duties responsibly and have been attending the office with regular attendance. There is no justified reason for withholding my dues.

This delay is causing considerable financial issues for me. I need the immediate payment of my salary in order to fulfill necessary expenditures, including my rent, utilities, and bills. I, therefore, earnestly request you to look into the matter and release my pending salary for two months as early as possible.

Looking forward to swift action regarding the matter.

I am reaching out with deep concern about the non-payment of my salary for the third time in a row. My salary for October, November, and December is still due. The management must look into the matter and release my due salaries as early as possible.

In addition to creating considerable inconvenience for me, the salary delay is also demotivating and demoralizing. I have always been a dedicated and hardworking employee. There is no justified reason for withholding my salary since I have been fulfilling my work responsibilities well. The non-payment of wages is against the company’s policies and is an illegal act that exploits the rights of employees. Keeping this in view, if the company fails to pay my dues by the end of this month, I would be compelled to take legal action.

I don’t want to escalate the situation and would prefer an amicable resolution. I, therefore, urge you to make my due payment as soon as possible.

Looking forward to your prompt response.

On behalf of my team, I am writing to bring your attention to the non-payment of our wages. Our team has not received our due payment despite the timely completion of the XYZ project. I am, therefore, raising a formal grievance against the issue.

This is to remind you that we completed the final phase of the project on the 12th of May, 2025. All the deliverables were submitted by the mentioned date. According to our contract, the company was supposed to make our payment within a week of the project’s completion. However, it has been a month since the submission of the project, and our team has not received our due payment.

I request that our outstanding payment be processed without further delay. I expect the company will take immediate action to resolve the issue.

Looking forward to your prompt attention to the matter.

Subject: Grievance letter for unpaid wages

Dear Mr. Mathews,

I am writing to you after much deliberation and pain about an issue I am facing. It has been over two months since I have not received any wages for services rendered. I continue to work hard and complete my tasks; however, a lack of wages is now causing me much mental stress, and I am unable to concentrate at work.

I understand that the company is going through a financial crisis and period of uncertainty; however, the truth is that many others like me still have to afford rent and bills. I had a small amount of savings that I have been using over the past two months to survive. Now that saving has also been depleted. Please look into this matter with high priority, as there are many like me who have been suffering due to unpaid wages.

I hope you can look into the matter and resolve this issue.

Sincerely,

Sarah Sid
