1. How is the current annual leave balance calculated?

The calculator estimates accrued annual leave as of the selected date using the chosen accrual method. It then adds carry-forward leave and manual adjustments and subtracts annual leave already used. The selected rounding rule is applied to the displayed balance.

2. How does monthly leave accrual work?

With Monthly Accrual selected, the annual leave entitlement is divided across 12 months. The calculator credits leave according to completed months of eligible service within the selected leave year. Partial months are not credited as complete months.

3. How does daily prorated accrual work?

Daily prorated accrual estimates entitlement according to the employee's eligible service days within the selected leave year. This can be useful when leave needs to be prorated more precisely for employees who start during the year.

4. How are new employees handled?

Enter the employee's actual employment start date. For Monthly or Daily Prorated accrual, the calculator uses that date when determining eligible service and accrued annual leave.

5. What does projected available balance mean?

Projected available balance is the employee's current annual leave balance minus pending or approved future annual leave entered in the calculator.

6. How is the projected year-end leave balance calculated?

The calculator estimates annual leave accrual through December 31 using the selected accrual method and employment start date. It then includes carry-forward and adjustments and subtracts annual leave already used and planned future annual leave.

7. Do sick leave and other paid leave reduce annual leave?

Not automatically. The calculator displays sick leave and other paid leave separately. If your organization combines these categories under a single paid-time-off policy, enter and interpret the figures according to that policy.

8. What does the estimated leave value represent?

The calculator divides the entered monthly salary by the average workdays per month and applies the resulting estimated daily salary to the current annual leave balance. This is a reference estimate only and does not determine statutory leave encashment or an amount legally payable to an employee.

9. What does “Low Balance” mean?

Low Balance is an informational calculator status applied when the projected available balance is 2 days or less. It is not an employer-policy or legal threshold.

10. Why might my HR or payroll system show a different balance?

Official balances may use different accrual dates, probation rules, carry-forward limits, expiry rules, rounding methods, working patterns, public-holiday treatment, unpaid absence rules, or other employer-specific policies. Formal HR or payroll records should therefore be checked before making employment or payment decisions.

How the leave balance is calculated

The calculator first determines the accrued annual leave available as of the selected date according to the chosen accrual method. Carry-forward leave and manual adjustments are then included, while annual leave already used is deducted to determine the current available balance. Pending or approved future annual leave is deducted separately to show the projected available balance.

Sick leave and other paid leave are displayed separately and do not automatically reduce the annual leave balance in this calculator. If your organization combines these categories under a single paid-time-off policy, the figures should be entered according to that policy.
