Letter to Inform your Boss to Quit the Job

If an employee plans to quit a job, a letter is written to inform the employer about the intent to leave the company. There comes a time when an employee is provided with better opportunities or higher salary and decides to quit the existing job.

It is a good idea to inform the employer or boss directly, before an actual resignation letter, because this gives the employer enough time to prepare for the transition. An informing letter can help the employee continue a positive relationship with the boss that can be helpful for networking and for writing good references for future employment. Whether the employee likes or dislikes the existing job, it is always a good idea to keep the letter positive. When the letter is written with grace and professionalism, it can serve as a stepping stone in future careers.

Sometimes, the boss may ask the employee to reconsider the decision or he may ask the employee to leave immediately. In either case, the employee must be prepared for such situations and have a plan prepared.

Things to keep in Mind

The letter should be simple and content. There are a few things that must be kept in mind while writing the letter to inform the boss about job quitting:

Give Adequate Time: Generally, a two week time period is considered appropriate for informing before actually quitting the job.

Offer Help: It is a matter of professional courtesy to offer help or assistance for the replacement. This help might be in the form of training, offering assistance after quitting, doing transitional paperwork or help in recruiting.

Be Grateful: There should always be a note of gratitude for the employer. Let them know how you appreciate the company’s and boss’s efforts and how thankful you are for all the opportunities.

To the Point: The letter should be short, simple and focused. The reason for quitting should be explained without unnecessary elaborations, in a professional manner.
